Add a new Project

This article explains how to create a new Project from scratch on Tractivity.

Please note that this guide is only for Users with System Admin permissions.

This article is for Tractivity systems with two (2) or more Projects available to use. If you would like to discuss including additional Projects in your Tractivity system, please contact your Customer Success Manager, or email customersuccess@tractivity.co.uk.

A Project is a database within your Tractivity system. Each Project has its own information – its own stakeholders, Activity and Enquiry records, Events, email templates and so on. Having separate Projects is a great way to manage your data, ensuring your colleagues and teams can more easily find what they need and data does not become mixed up.

The guide below explains how to set up a brand new Project.

Getting started

To add a new Project, you will need to have access to the System Admin page on Tractivity. If you don’t have access to this page and believe you should, please contact the main point-of-contact in your organisation for Tractivity.

  1. Log onto Tractivity.
  2. Click System Admin from the top-right corner of the page.
  3. You will see the Add Project option from the left-hand menu. Click Add Project.

You will have a choice between cloning an existing Project or creating a Project from scratch. For this article, select “Add New Project”. If you want to clone an existing Project instead, please read this article: Cloning an existing Project

Completing the “Add Project” form

The next page has a form that sets up the basic details of your new Project. Make sure that any fields marked with an asterisk are completed, as these are mandatory fields.

  • Project Name
    This is the name for your Project.
  • Parent Project
    Projects can be assigned a “parent” Project. This is useful in cases where a Project has some crossover with an existing Project, such as if a Project is being used for a specific piece of work within a department.
  • Address
    Postcode
    Latitude/Longitude
    Location information can be given for your Project. This is useful if the Project relates to a department or a site different from that of existing Projects (and their teams/departments).
  • Telephone
    Email
    Website
    Contact information can also be provided for the Project. This can be used to note who or where to contact about specifics of this Project. This information is only visible internally.
  • Privacy Policy URL
    An address to view a relevant privacy policy for this Project, and how this data is stored can be included here.
  • Default Dashboard
    Dashboards are how information is presented on your Tractivity home page. There are two dashboards to choose from: Standard and Engagement. This option lets you decide which dashboard will be used by default when opening this Project.
  • Preferred Language
    You can set your Project to either use English or English/Welsh. This will also apply to public-facing pages such as Events and Surveys created within this Project.
  • Default Survey/Event Primary Colour
    Default Survey/Event Primary Text Colour
    If there are any branding guidelines that apply for this Project, then you can set up the default colours to be used on Event and Survey pages.
  • Shared Mailbox Credentials Type
    Enable "Auto Reply" Filter?
    These details are used if you are using the Shared Mailbox feature. For more information on Shared Mailboxes, please speak to your Customer Success Manager.

Subscription Preferences set-up

The next page is for setting up the subscription preferences for your Project’s stakeholders. Ensure that the correct information is provided for stakeholders when they choose to update their subscription preferences. Once you are happy with the Project details, click ‘Save’ and your new Project will be created.
