Email a Report

In the Reports module, you can send a Report directly to any email address. This is a useful tool as it provides a quick way to gather information from your Tractivity system. Just follow the steps below to learn all about how to email a Report on Tractivity.

1). Go to the Reports module. You can find this on the black navigation bar at the top of Tractivity.

image-png-Jan-12-2024-11-59-21-7479-AM2). On the Reports module, the first thing you will see is the Reports Viewer. The Viewer will show two folders - one named Common, and another named after your organisation. Double-click on the Common folder.

Please Note: The Common folder contains a variety of pre-built Reports, and the second folder named after your organisation includes any bespoke Reports your organisation has requested. If you can't find the report you need in the Common section, contact your Customer Success Manager to discuss building a bespoke report.

3). The Common folder will expand to show additional folders named after different types of records on Tractivity - Activities, Contacts, Enquiries and so on. Double-click on the folder for the type of record you want to run a report on. For example, if you need a report on the Contacts in your Tractivity system, double-click on the Contacts folder.

4). You will be able to see all the Reports available for your chosen record type. Click the hamburger icon (the stack of three horizontal lines) next to the Report you need. Then hover the mouse over the Email Report option, and you will see a space to enter your email address.

5). Enter the email address you would like the Report to be sent to into the text field. Then select the format you want the Report to be sent in. The Report can be generated as an Excel file (.xlsx), a CSV file (.csv), or as a PDF file (.pdf).

6). The next step is to select the filters for your report. For most Reports, you will need to complete the fields as below, selecting the criteria you want the Report Viewer to use when generating your Report. Once you are happy with your filters, click the red Run Report button.

8). The recipient will receive the Report in an attachment to an email.
