Email Verification and Whitelisting

An explainer for Tractivity's email verification (and how to bypass this)

Any email address added against a Contact or Organisation on Tractivity will go through email verification. This is an automatic process that will take place any time you add a new Contact or Organisation, or any time you update the email address for a Contact or Organisation.

Mailshots, event invitations and emails can only be sent to Contacts and Organisations with a verified email address. If the email address cannot be verified, you won't be able to send any emails to that stakeholder through Tractivity.

You can see if an email address is verified or not based on the icon by the email address on the View Contact/View Organisation page:

  • A timer by the email icon indicates that the email verification process is taking place.
  • A green tick by the email icon indicates that the email address has been verified.
  • A red cross by the email icon indicates that the email address has failed verification.
  • A red question mark by the email icon indicates that the verification was unsuccessful.

Verification will repeat periodically to ensure all email addresses are still available and operating as expected. You can also click the arrow icon to run verification manually.

Email whitelisting

The email verification process is based on proper implementation of the SMTP protocol by the email domain holders. If this protocol is not implemented (correctly or at all), you may find that email addresses will appear as invalid - even if you know for a fact that the email addresses are legitimate. In these cases, you may need to bypass email verification, so that you can send emails through Tractivity to these addresses.

To add an address to your email whitelist, please reach out to your Customer Success Manager. (If you don't have their details to hand, you can also email support@tractivity.co.uk.) Your CSM can then add the email address to your system's whitelist. If needed, we can also add whole email domains to the whitelist. 

Please note that adding a domain or address to your whitelist does run the risk of emails failing to deliver. Only add to your whitelist if you are certain a domain or address is able to receive your emails successfully.
