How to add an email to a new enquiry from Outlook Integration

This article will explain how to attach your email activity to a brand new enquiry, through your Tractivity outlook Integration.

  1. Select and open the email you wish to create in Tractivity, and select the red Tractivity Logo from the top bar.
  2. Log into the Tractivity add-in via your preferred login method **if you haven’t done this before please see article How to access the Outlook Integration
  3. Once logged in, the add in screen will give you a summary of the project you are currently viewing – if you have access to multiple projects please select the project you wish to create the enquiry within.
  4. Please ensure you have added all the contacts to your Tractivity system that you wish to log this activity/enquiry against **please see article - How to record new contacts inside of Tractivity from Outlook Integration
  5. Select the red Create Email Activity button at the top of your outlook add-in screen.
  6. Select all the contacts, organisations, and any mandatory fields that you want associated with this enquiry.
  7. Select the red Create New Enquiry button and complete the following fields on the next screen:
  • Main Contact for the Enquiry – Please select the person you wish to be the main contact
  • Associated Organisation – Select the organisation that this enquiry is associated with
  • Enquiry Title – Please give your enquiry a title
  • Enquiry Status – Please select if the enquiry is live or closed
  • Enquiry Received – This is the date the enquiry was received/opened and should be written like so – 01/02/24
  • Account Handler – Please select the account handler looking after this enquiry
  • Notes – Please write any notes relating to the enquiry in here.

**Please Note – Some of the fields you see in the Create Enquiry Screen may look different depending on the fields you have switched on and whether any are mandatory.

  8.   Once the form has been completed select the create enquiry button.

  9.    The add-in will then take you back to the previous Create Email Activity screen,   however, if you scroll down you will now see the enquiry you have just created under the Most Recent Enquiry Titles

  10.    Select the new enquiry you have just created and click save

   11.    The screen will change and give you a summary of the email activity, associated contacts, and the enquiry you have linked it to.
