How to record new contacts inside of Tractivity from Outlook Integration
This article will explain how to add a new contact to your Tractivity system via the outlook add in.
- Select and open the email you wish to create in Tractivity, and select the red Tractivity Logo from the top bar.
- Log into the Tractivity add-in via your preferred login method **if you haven’t done this before please see article How to access the Outlook Integration
- Once logged in, the add in screen will give you a summary of the project you are currently viewing – if you have access to multiple projects please select the project you wish to create the new contact in.
- The add-in screen will give you a summary of the contacts attached to your email and will display their initials. If their initials are grey, this means they are not an existing contact in Tractivity.
- Select the initials of the contact you want to create, and select the red Add Contact to Tractivity button
- The next screen will have the contacts First Name, Last Name and Email address pre populated. Please fill in the relevant contact details that appear below, such as telephone number, Mobile and Job title.
- There may also be additional fields you need to complete below contact details, if these are a mandatory field within your Add Contact form in the system. **These fields may vary depending on the fields switched on and mandatory within your system.
- Finally, you can attach an organisation to the contact by typing in the organisation name and clicking search, and selecting the correct organisation. ** Please Note – the organisation will need to already exist in your Tractivity system in order for you to attach it.
- Once the form is complete click the red Save Details Button.
- The contact will then be created, and it will return you to the original summary screen and will now see the contact you’ve just added will show in red.
- You can repeat the same process to add any additional contacts and once done, you will be able to log the activity in your system against each of the selected contacts.
