New Email Builder - Creating a new Mailshot (Steps 1-4)

This article and video will explain how to create a brand new Mailshot, and will cover the first 4 steps of the process. **Please note** All articles relating to step 5 of the email builder can be found in our Help Centre.

 

 

To start creating your Mailshot, Navigate to the Mailshot Module, and select New Mailshot in the left hand menu. This will take you through to Step 1 of creating your new Mailshot.

Step 1 – Mailshot Details

Here you can complete information on your mailshot, please see definitions of the following fields and sections:

  • Mailshot Title – Here you can give your Mailshot title (this will be for internal use only)
  • Mailshot Description – You can give a further description on your Mailshot (Internal use only)
  • Email Subject – This will be the subject of the email that your recipients will see when they receive your Mailshot.
  • From Name – This is a free text box where you can enter the name of the person or team that will appear on your email when your recipients receive it.
  • From Email Address – This is the email address that the mailshot will be sent from, and will appear in the email they receive.
  • Reply-To Email Address – This is a free text box where you can enter the email address that you would like any responses to come through to.
  • Include Link to HTML webpage Version – You can select Yes or No, and this will allow a recipient to view your mailshot in a browser.
  • Priority – You can set your Mailshot to High, Medium or Low priority
  • Owner Teams – This is where you can select who can edit your Mailshot

Template Section – Here you can select any existing templates to use for your Mailshot, or you can start from scratch by selecting a blank one.

Attachments Section – You can attach a file that you would like to be attached to your Mailshot. **Please note** Attachments will not be sent if there are more than 1000 recipients.

 

Step 2 Distribution List Recipients

This step will allow you to attach any existing Distribution Lists to your Mailshot.

Any Distribution lists will appear in the white box, and you high select all the lists that you would like to attach. **Please note** you can skip this step and attach lists at a later date if you wish to.

Step 3 – CSV Upload

This step allows you to upload recipients via a CSV file. All you need to do is download the template, complete it, and click the Upload CSV.

**PLEASE NOTE** Any contacts uploaded via CSV will not be created in Tractivity as a contact, and will not show in any part of your system. Therefore, please only use this option for contacts that you don’t need to add to Tractivity.

Step 4 – Review Recipients

This page will now give you a summary of all contacts added to your Mailshot either via a Distribution list, or CSV file.

If you are happy with all recipients you can click next which will open up the Email Builder.
