Run and Export Reports

The Reports Module is a powerful tool to find and analyse your stakeholder data on Tractivity. You can create Reports on things such as who your stakeholders are, what conversations have been had with them, and what work the system's Users have been undertaking. This step-by-step guide and video tutorial will explain how to run a Report and Export this report to your device.

 

1). Go to the Reports module from the black navigation bar at the top of Tractivity.

2). On the left-hand side of the Reports display, you will see two folders: one called Common, and another named after your organisation. Click Common to expand the folder.

Please Note: The Common folder includes Reports available to all Tractivity users, while the second folder includes any reports you have requested to be built. If you can't find the report you need in the Common section, contact your dedicated Customer Success Manager to discuss building a bespoke report.

3). You will now be able to see more folders, each one named after a different type of record on Tractivity. Select the folder for the type of Report you want to run. For example, if you are looking to run a report on the Contacts recorded in your system, select the folder named Contacts.

4). This will now display all Reports available for that record type. Find the Report you need, click it, and then click the red Play button to run the Report.

5). You will then need to complete the Apply Filters window. This is where you will set what criteria a record needs to meet to be included in your Report. Complete the filters for the report, and once you are happy, click Run Report.

Please Note: If you find the Report or the Apply Filters screen difficult to view in full, you can use the VIEW FULLSCREEN option to expand the display to fit your browser window.

6). The report will then be displayed.

7). If you would like to export the Report to your device, you will need to find the Report again from the list, and click it once again. However, instead of clicking the Play button, click the hamburger icon (the three horizontal lines stacked on each other) instead. Then hover your mouse cursor over the "Export As" option.

8). You can export the Report as either an Excel (.xlsx), CSV or PDF file. Select the format you would like, and then the Apply Filters window will appear again. Complete the filters as before and then click Run Report. The Report will then be generated, and once completed, it will download to your device.
