Scheduling a Report
Creating ongoing, automatic reports for your data analysis needs
Reports can be scheduled to be created on a recurring basis. This can be used to create daily, weekly, monthly or even yearly reports, made automatically, and delivered straight to your inbox. Our step-by-step guide and video tutorial will show you how to set up your own Scheduled Reports.
1). Go to the Reports module.
2). On the left-hand side of the Reports display, you will see two folders: one called Common, and another named after your organisation. Click Common to expand the folder.
Please Note: The Common folder includes Reports available to all Tractivity users, while the second folder includes any reports you have requested to be built. If you can't find the report you need in the Common section, contact your dedicated Customer Success Manager to discuss building a bespoke report.
3). You will now be able to see more folders, each one named after a different type of record on Tractivity. Select the folder for the type of Report you want to run. For example, if you are looking to run a report on the Contacts recorded in your system, select the folder named Contacts.
4). This will now display all Reports available for that record type. Find the Report you need, click it, and then click the red Play button to run the Report.
5). Complete all the details in the Recurrence tab. Including a Schedule Name, Report Format (excel, CSV, PDF), Create Password (optional), Time, and Recurrence. Then click 'Next', in the bottom right-hand corner.
6). Some Reports, typically those displaying data over a certain timeframe, include a Parameters tab. Complete the parameters to define what period of time your Report will cover.
7). In the Filters tab, build the reports as you would usually in the Reports module. Whichever order you create the reports in, that is the order they will be sent to the recipient. Then click 'Next'. For further support with this, consult the video or contact your Customer Success Manager.
8). In the Recipients tab, add the email addresses of the recipients in the To, CC and BCC fields, then you can also type in an Email Subject and Email Text/Message with it. Then click 'Finish'. A prompt will appear, informing you that the Report has now been scheduled.
9). Click on the clock icon on the left-hand side of the Reports module to view all of your Scheduled Reports. You can edit any Scheduled Report by clicking on the "pencil" icon, and you can remove a Scheduled Report from the schedule by clicking the red X icon.
