Contact Deputies

Record details of your Contact’s administrators, spokespeople and personal assistants

For high-profile Contacts in your system, it can be useful to have a note of the best person to contact if or when you can’t contact them directly. In Tractivity, these are known as a Deputy. This article explains how to record Deputies against your Contacts.

 

Adding a Deputy

Find your Contact to begin. On the View Contact page, click Add Deputy from the left-hand menu. This will open the Add Contact Deputy form.

You will need to enter a name for the Deputy. You can also provide their Position (Job Title), their email address, and a telephone number. Once you have added all the information you have, press Save to create your Deputy.

Editing and Removing a Deputy

You will find the Deputy information as part of the main details for your Contact, just below the existing fields (ending with Quick Notes). Quick Edit is available for all four fields, letting you make changes instantly. Just click the pencil icon by each field to make any changes.

To remove a Deputy, click the Remove button just above these details. This will permanently erase the Deputy and their details, so be sure you want to remove the details before pressing this button.

Emailing a Deputy

The Email Contact option on the left-hand menu also allows you to email a Deputy. When you have entered a valid email address for the Deputy, clicking Email Contact will ask you to choose between the Contact and the Deputy. You can also CC the other person into the email; for example, emailing the Contact and copying in the Deputy. Click OK to proceed to the usual email screen.

Please note: A Deputy will not be sent any Event Invitations or Mailshots unless they are also included in the Invitee or Recipient list.
