Adding a Contact
Create a record for an individual stakeholder
Please note: This article reflects changes being introduced to Tractivity as part of the software's major modernisation update. This update is being rolled out to users from December 2025 onwards.
Individual stakeholders are known as Contacts on Tractivity. This article will show you how to add new Contacts to your Tractivity system.
Please note: The fields in the 'Add Contact' form have been configured by your organisation and may look different to the form used in the video below. If you would like to use any additional fields, or add any options to existing drop-down fields, please reach out to your superuser.
Adding a Contact
Select the Organisations & Contacts Module from the top navigation bar. On the next page, click Add Contact from the left-hand menu.
You will then need to complete the Add Contact form. This form includes the following sections:
- Main Details – This is the primary information for your Contact such as their name, email address and contact numbers.
- Additional Contact Details – This section can include a secondary telephone and email for your Contact, and allows you to add them to any existing Distribution Lists or Stakeholder Mappings.
- Contact Permitted - Contact Permitted is auto-selected and refers to communication on a one-to-one basis with your organisation. Contact Permitted is not GDPR related, however as projects progress, some stakeholder relationships become fragmented, and your stakeholder may indicate they no longer wish your organisation to contact them; if so, you can unselect this box. After doing this, you physically won't be able to contact the stakeholder through Tractivity.
- Personal Details – If you collect any demographic data such as Age Range, these fields will appear here. (If you don’t collect this data, this section likely won’t appear on the form.)
- Categorisations – This section allows you to tag information against Contacts such as their region, interests, and stakeholder categories.
- Subscription Preferences - record your Contact's marketing preferences. Only Contacts who have Subscribed will receive mass communications, such as Mailshots.
- Relationships – This section allows you to associate a Contact with Organisations. A Contact can be linked to multiple Organisations. You can also add in any associated addresses.
- Projects – If you have access to more than one project database, you can choose to add the contact to any database they are relevant to. If you only have access to one this section will not show.
Once you have completed all of these sections, click Save at the bottom of the form. Your new Contact record will now be created!
