Adding an Enquiry
Organise related Activities using Enquiries
Enquiries act as a central folder to group all related engagements around a single topic or issue. This article explains how to create a new Enquiry.
Enquiries are made against a specific Contact. To begin making your Enquiry, choose a Contact and open the View Contact page. Then click Add Enquiry from the left-hand menu.
The Add Enquiry form includes some of the following fields. Any fields marked with an asterisk (*) are mandatory fields. Do note that your system’s own Add Enquiry form may differ, depending on how your system has been configured.
- Enquiry Title: A name for your Enquiry. Try to make it distinct from other similar Enquiries at a glance.
- Associated Organisation: The Enquiry will be recorded against your chosen Contact; you can also choose to assign the Enquiry to an Organisation attached to the Contact.
- Sub Projects: Tasks or ongoing work being undertaken by your organisation. If the Enquiry relates to the work, you can note this using Sub Projects.
- Enquiry Status: Live or Closed. This marks whether the Enquiry has been answered and resolved, or if the discussion is ongoing.
- Enquiry Stage: These fields note how far along the Enquiry is to completion. Stages can be defined by your organisation.
- Enquiry Priority: Low, Medium or High; how important do you consider this Enquiry to be? (For example, you may consider complaints more important than positive feedback.
- Enquiry Made Via / Enquiry Response Method: The channel of communication that the Enquiry was made using, and how you responded.
- Enquiry Reason: A one-word or -phrase summary of the Enquiry’s purpose.
- Enquiry Categories: You can assign custom categories specific to the types of Enquiry your organisation receives.
- Sentiment: Is this Enquiry negative, positive or just neutral? You can indicate this here.
- Notes / Agreement Notes / Purpose of Engagement: Space to add additional context for the overall Enquiry. (You can record specific interactions as Enquiry Activities.)
- Owner Teams / Account Handler / Account Group: Note the colleagues or teams responsible for managing this Enquiry or stakeholder relationship.
Click Save to create your new Enquiry.
You can find your Enquiry either by searching the Enquiry module (from the top navigation bar), or by going to your Contact, and viewing the Enquiries tab on the View Contact page.
