How to add Invitees to an Event and manage their Invitation Status

Before you can send out invitations for your Event to your stakeholders, you will need to add your stakeholders as Invitees to your Event. This article explains how to add and manage your Event’s Invitees.

 

Adding Invitees

On the View Event page, click the Add Invitees option on the left-hand menu. This will take you to a search page where you can choose your Contacts to attach as Invitees.

Click Search to display all Contacts in your system (or in the current Project, for systems with multiple Projects). You can refine the search using the provided Search fields. Additional search fields can be added using the Settings menu. (For more information on customising your search: [link to searching for contacts article])

To attach an Invitee to your Event, click the green ‘plus’ icon to the right of the Contact’s name and details. You will be prompted to add a reason for the Invite; you can leave this blank or add in any relevant information you like.

To attach multiple invitees at once, check the checkbox to the left of each Contact’s name. When you are ready to add these Contacts as Invitees, click the button labelled Attach Selected Contact(s).

The Attached Contacts tab lists all Contacts currently attached to your Event as Invitees. You can click the red ‘minus’ icon to detach the Contact.

Click Back to return to the View Event. You can find your Event’s Invitees now listed under the Invited Contacts tab.

Invited Contacts

This tab lists all Contacts attached as Invitees to your Event. On the tab, you can modify the Invitation Status of an Invitee by clicking Edit. Changing the Invitation Status lets you note if the Invitee has received an invitation and accepted, declined or waiting to respond.

If you are sending an Event Invitation by email, your Invitees can accept or decline their invitation themselves, but if you do need to set the Status manually, you can do this here.
