Adding Recipients with a Static List
Create a list of stakeholders that only changes when you change it
There are two ways to add recipients against a Distribution List. In this article, we’ll look at using Manual Selection: choosing your recipients directly from your stakeholder records.
Please note: if using a Static List, the recipients attached to your Distribution List will only change when a User attaches or detaches recipients.
If you would recipients to be automatically added and removed from your Distribution List over time, please see: Adding Recipients with a Dynamic List
First, find your Distribution List. From the View Distribution List page, check that the Source Type is set as “Static List”. Click Manage Recipients from the left-hand menu.
On the next page, you will see a search screen, similar to that seen when opening the Organisations & Contacts module. Use this to find the stakeholders you would like to add to your List.
You can search using the stakeholder’s details – name, categories, demographic information and more.
Example: if you want to create a list with all Contacts that have the Stakeholder Category “1. Non-Statutory Stakeholder”, you can filter your search with this Category, and then click Search.
The results will display below the search fields. To add a recipient to your Distribution List, click the green Attach button (with the ‘plus’ symbol) next to your stakeholder. You can also check the checkbox by the stakeholder; then you can attach all stakeholders at once by clicking Attached Selected Contact(s)/Add Selected Organisation(s). This is a good way to add many stakeholders at once.
Your attached stakeholders can be seen in their own tab, named Attached Contacts/Attached Organisations. This tab will also display the total number of attached stakeholders.
Click View Distribution List on the left-hand menu to return to viewing your Distribution List.
