Before setting up your Tractivity system, take a moment to check the following:

Have you defined your core goals and the purpose of using Tractivity?

Have you selected your key internal contacts to drive Tractivity?
If the answer to both is yes, you’re ready to move into system configuration. The tips below will help you configure your Tractivity system and make it as good as can be.
Keep It Simple
When reviewing what data to record in Tractivity, it can be tempting to capture lots of information from the outset. Keep things simple by focusing only on the key information you need for reporting and engagement.
Aim to keep each "Add screen" (e.g. Add Contact, Add Enquiry) as short and straightforward as possible. You can always build on these screens later. Overly complex or time-consuming screens at the earliest stages of using Tractivity may frustrate users and negatively impact adoption.
Top tip: Add a few Contacts, Organisations, and Activities before finalising your setup, and time how long it takes to create each record. If it feels slow or clunky, simplify it!
Use Consistent Stakeholder Categories
Consistent categorisation results in clearer reporting and more effective communication. Common categories include:

Internal vs external stakeholders

Influence level (High/Medium/Low)

Interest level (High/Medium/Low)

Role (Decision maker, Influencer, Advisor, Observer)

Stakeholder type (Landowner, MP, Resident, Supply Chain, Media)
Avoid creating too many custom categories early on. Again, keeping things simple will help drive adoption. Your categorisation approach will be discussed with your Customer Success Manager during your first onboarding call.
Have Your Stakeholder Data Ready to Go
Preparing your stakeholder data during onboarding will make the import process seamless. Consider the following tips based on how you currently record stakeholder data:

If you use Excel, create a master spreadsheet for your teams to populate with stakeholder data.

If you use Outlook or mailing lists, export this data into a spreadsheet.

If you use another CRM/SRM software, request an export to review with your Tractivity Customer Success Manager.
Accurate stakeholder data is essential for both effective engagement and a well-functioning system.
Create Internal Guidance Documents
Ensuring your users understand why information needs to be added, and how to add information correctly, is essential for strong usage and long-term system success .
Take time to:

define what information teams need to add to Tractivity.

clarify the types of engagement that should be recorded.

create short, practical guides outlining the exact steps users should follow.
Putting these documents and processes in place early gives users a clear understanding of Tractivity’s purpose when training begins, supporting confidence, consistency, and adoption.
