Event Documents (Sign in Sheets, Delegation Lists, Name Badges)

Create and customise useful documents for your Events 

With a few clicks, you can create name badges, attendee lists and other useful documents for your Events on Tractivity.

Generating Event Documents

 

To generate a document, start by searching for your Event in the Events module.

Please note: Event Documents can only be generated for Pending Events. Completed Events will not have this option available to use.

From your Event’s View Event page, click Generate Document from the left-hand menu. A prompt will appear on your screen. From the drop-down menu, choose which document you would like to generate.

Tractivity systems come pre-loaded with three document templates: Name Badge, Delegation List and Sign-In Sheet. Select the document you want to produce, then click OK. Your document will automatically download to your device.

These documents generate as Microsoft Word documents and pre-populate with information from your Confirmed Invitees. (Any Invitees that have not yet confirmed their attendance will not be included in these documents.

Creating and Editing Event Documents

Please note: This information is for Users with access to the System Admin menu.

You can configure the documents available to generate from the Events module in the System Admin menu. These options let you edit any existing documents or upload brand new documents to use.

When adding new documents, please download an existing document template first, and then modify the format of the template before re-uploading.

Click System Admin and from the left-hand menu, select Event Configuration. The page will display all currently available Event Documents on your Tractivity system, alongside the document Type and the Projects the document can be generated within.

Clicking View under the Template column for any document will download the raw template for that document. This displays the database variables the document will use to generate the information from your Events, such as the names of your Invitees.

If you click Preview, this will load the document with some dummy information, showing you how the document will appear when generated for your Event. You can use this option to ensure the document is working correctly after being created or edited.

If you would like your document to include a field that is not currently within an existing document, please contact support@tractivity.co.uk with your updated Word document and the field that you would like to add.
