Introduction to Workflows

Streamline your stakeholder engagement work with automated Activities

Please note: This article reflects changes being introduced to Tractivity as part of the software's major modernisation update. This update is being rolled out to users from December 2025 onwards.

Workflows are a great tool for saving time in your stakeholder engagement work. Thia article provides a quick overview of the Workflows module, including how to create a Workflow and how to use Workflows when creating records.

What is a Workflow?

A Workflow can automatically create an Activity for you whenever you make a new Contact, Organisation, Event or Enquiry. You can choose what Notes the Activity includes, whether the workflow runs on a mandatory basis, and which users the Activity is assigned to.

Adding a Workflow

 

To begin creating a Workflow, click on the Workflow module from the top navigation bar. Then select Add Workflow from the left-hand menu. Complete all the fields marked with an asterisk (*) on the ‘Add Workflow’ page. Click Save once you are ready to create your Workflow.

Applying a Workflow

When creating a Contact, Organisation, Enquiry or Event, if you have any available Workflows, a new section will be available on the ‘Add’ page. In this section, you can choose from the available Workflows for your record type; for example, when adding a Contact, you can select from any Contact-type Workflows.

Check the box by the Workflow you wish to use. You can select as many Workflows as you like.

Archiving Workflows

To remove a Workflow from your system, just click Archive by the Workflow that is no longer needed. This will send the Workflow to your Archive, accessible in the top-right corner of Tractivity.
