Targeting Interests with Distribution Lists
Align your outreach with the stakeholders who want it most
Interests are another way to categorise your stakeholders. They highlight the topics that are most important to your stakeholders from the work that your organisation carries out.
Your stakeholder Interests can also be applied to a Distribution List. This will ensure only recipients with matching Interests receive any communications you send out using the Distribution List.
To use Interests with your Distribution Lists, either create a new Distribution List or edit an existing List. You will find the Interests fields on the Add Distribution List or Edit Distribution List forms.
System Admin users: If the Interests fields are unavailable, you can add these by clicking System Admin in the top right-hand corner of Tractivity. Go to Field Configuration in the left-hand menu. Then click Distribution List, and check the box next to either Global Interests, Project Interests, or both.
Select the Interest you want to apply to your Distribution List; you can apply multiple Interests if needed. Click Save to save your changes to your List.
Interests and Recipients
Any recipients on your Distribution List will be updated marked as valid or invalid depending on if whether they share the Distribution List's Interest(s). If the recipient does not have the same Interest(s), they will be considered invalid, and placed under the Invalid Recipients tab.
For example: you have assigned the Project Interest "General" to your Email Distribution List.
- The Contact "Jane Smith" has the Project Interest "General", a valid email address and their Email Subscription Preferences set to "Subscribed". This Contact is valid and will appear under the Recipients tab.
- The Contact "John Brown" only has the Project Interest "Industry", a valid email address and their Email Subscription Preferences set to "Subscribed". This Contact is invalid and will appear under the Invalid Recipients tab.
If you feel a stakeholder should have the Interest assigned against their record, you can click on their name under the Invalid Recipients tab to open their View Contact/View Organisation page; from there, you can edit the Global and Project Interests for your stakeholder.
Global and Project Interests
You may see either Global Interests or Project Interests. The difference here is relevant for any systems with multiple Projects. Global Interests are available to use across all Projects, while Project Interests are specific to the currently active Project. This lets you create Interests specific to the work undertaken in different Projects, for example by a different team or as part of a different initiative.
Do note that Global Interests and Project Interests are separate fields with their own options and cannot be used interchangeably.
