Tractivity Glossary

A guide to the various phrases and terms used throughout Tractivity

Access Profile – This controls which modules a User can view and interact with on Tractivity. See: Edit User Access Profiles

Account Handler – The User with the main responsibility for a record. For example, the Account Handler of a Contact is responsible for managing the relationship between the company and the stakeholder. 

Account Group – Similar to an Account Handler, this is a team or group within your company with the main responsibility for a record. For example, an Account Group of an Event will be the team organising the event.

Activity – A single interaction with a stakeholder. Examples include a phone call, an email, or an in-person meeting. Find out more: What is an enquiry? What is an Activity?

Building – An address. Buildings can be associated with Contacts and Organisations in order to identify key locations among your stakeholders.

Contact – An individual stakeholder; a person. See: Help Articles - Knowledge Base

Customer Success Manager – Your main point of contact at Tractivity! Please reach out to them if you ever have any queries, concerns or requests relating to Tractivity. If you don’t know your Customer Success Manager, you can find out by emailing customersuccess@tractivity.co.uk.

Dashboard – This is the first thing you will see when you log onto Tractivity. 

Distribution List – A list of stakeholders with a common interest or category. These can be created for use in the Mailshot and Events modules. See: Help Articles - Knowledge Base

Enquiry – You can choose to save your activities within a folder, which in Tractivity is known as an Enquiry. This allows you to easily find all activities related to a specific topic and generate meaningful reports, while quickly filtering out unrelated conversations with a single click. Event – A workshop, seminar, conference, Q&A session – an Event is a record of any event you have planned or attended. You can manage attendees and invites from an Event record. Find out more: Help Articles - Knowledge Base

Global/Project Interests – To minimise the number of unsubscribes, we recommend using interests. You can list the topics or interests relevant to your stakeholders, allowing them to update their subscription preferences by selecting the specific subjects they wish to receive information about, rather than unsubscribing from all communications Project. Find out more: Project & Global Interests, ensure stakeholders only receive communications on relevant topics

Issue – A record of a topic that your stakeholders have raised with you, or something that has been raised that may impact your stakeholders. Issues can be tagged against various records in Tractivity. It allows you to see key issues and trends very quickly and change your stakeholder engagement plans accordingly. Land Parcel – Drawn-out areas of land, allowing you to target stakeholders or track issues raised from within these areas.

Mailshot – An email to be sent to a large number of stakeholders. This could be a newsletter or an announcement. Mailshots are created in the Mailshot module – to find out more, see: Help Articles - Knowledge Base

Modules – This is how we refer to the different areas of Tractivity. Examples include Events, Mailshots and Surveys.

Organisation – Any group that holds a stake in your operations. Examples include businesses, charities, government bodies, regulatory groups. See: Help Articles - Knowledge Base

Project – A unique database within the Tractivity system, each Project operates as its own mini system with dedicated stakeholders, activities, enquiries, and events. This setup is ideal for different projects or teams within your organization, ensuring confidentiality while still allowing cost-sharing of the Tractivity platform.

Report – A document displaying information from the Tractivity system. Reports can be ran and scheduled in the Reports module. See more: Help Articles - Knowledge Base.

Shared Mailbox – A email inbox that displays on the Home page of a Project in Tractivity. This connects to an inbox controlled by your organisation. Contact your Customer Success Manager for information on setting this up on your system.

SmartMailer – The software that powers the email tool within Mailshot and Events.

SPF – A record used by our email server to allow emails to be sent from Tractivity using your chosen email address. See more: What is an SPF record?

‘Stage’ / ‘Live’ system – The ‘Live’ system is your primary Tractivity system. Each client also has access to a ‘Stage’ system; this is used for training and also if you want to practice with the various Tractivity features. Please contact your Customer Success Manager if you would like access to the ‘Stage’ system.

Stakeholder Map – A visual representation of your stakeholders and their impact on your work. Identify categories in which you wish to rate stakeholders, from influence to engagement. Re-map and track changes in mapping scores. See more: New Stakeholder Mapping Module

Strategy Plan - Incorporate your engagement plan and establish links to the events, surveys, and mailshots you send.

Subscription Preferences – Each Contact and Organisation will have their own Preferences. Find out more: Subscription Preference Email & Settings

Sub Project – A task, project of ongoing work in your company. You can configure your selection of Sub Projects from the System Admin menu.

Support Desk – This is where you can report any issues you encounter while using Tractivity. Just email support@tractivity.co.uk.

Survey – A questionnaire for your stakeholders to complete. You can set the questions yourself and review their answers through graphs and reports. Find out more: Help Articles - Knowledge Base

System Admin – The menu where you can customise many parts of your Tractivity system. This requires special permissions to access. See more: Help Articles - Knowledge Base

User – Someone with access to Tractivity. Each Tractivity system will have a set number of Users that can be added. Find out more about adding Users: How to add a user and assign projects
