Adding Contacts and Organisations in the Outlook add-in

Create stakeholder records directly from Microsoft Outlook

The Tractivity Outlook add-in allows you to turn your email contacts into Tractivity Contacts, directly from your Outlook program. You can also add new Organisations to Tractivity; this article will show you how.

 

Open the Outlook add-in and select an email in your Outlook inbox. For each person (email address) mentioned in your email, they will appear as a circle in the add-in window.

  • If an email address matches an existing Contact in Tractivity, they will be represented by a red circle.
  • If an email address does not match any existing Contacts, it will appear as a grey circle.

Any grey circles can be added as a Contact from the add-in. Just click the grey circle, then click Add Contact to Tractivity.

You will need to complete a form to add your Contact. The first and last name fields and the email address field will complete automatically; you can also include a telephone and mobile number. If these fields are mandatory for the Add Contact form on Tractivity, they will also be mandatory here.

Any other mandatory fields from your Add Contact form will also appear here; complete these fields before saving your new Contact.

Assigning an Organisation

Your new Contact can be assigned to an Organisation in your Tractivity system. On the Add Contact form, towards the bottom of the form, simply search for the name of the Organisation you want to attach to your new Contact. Then click Search.

Check the box by the Organisation you want to assign to your Contact. You can select multiple Organisations if you would like.

Creating an Organisation

You can also create a new Organisation within the add-in. On the Add Contact form, click the red Create Organisation button. This will load the Create Organisation form.

This form includes fields for the name and email address of your new Organisation. Any mandatory fields from your system’s Add Organisation form will also be present. Complete these mandatory fields, then click Save Details.

You will return to the Add Contact form. If you want to assign your new Contact against your new Organisation, just search for the Organisation, click Search, and then check the box next to your new Organisation.
