Creating an Enquiry with the Outlook add-in
Add new Enquiries directly from your Outlook inbox
Enquiries can be created in your Tractivity system directly from the Outlook add-in. This article will show you how.
Log into the Outlook add-in and select an email in your Outlook inbox. Click the button labelled Create Email Activity.
Scroll to the bottom of the next page. You will see the Enquiry option; here you can select an Enquiry to assign to your new email activity. To create a new Enquiry, click the button labelled Create New Enquiry.
On the next page, we create our Enquiry. Complete the following fields. If any field is mandatory in your main Tractivity system, it will also be mandatory here, so ensure you complete any mandatory fields before proceeding.
- Main Contact for Enquiry: Select a Contact from the Contacts selected back on the Create Email Activity page.
- Associated Organisation: You can associate the Enquiry with the Organisation attached to your Main Contact, if you wish.
- Enquiry Title: The name of the new Enquiry.
- Enquiry Status: Live or Closed. If your Enquiry is ongoing, it’s recommended to select Live.
- Enquiry Reason: Select an option that best describes why the Enquiry has been made by your stakeholder.
- Account Handler: Choose the User of your system (ie a colleague) that is managing the conversation with this stakeholder.
- Notes: Any additional information you want to provide for your Enquiry.
Additional fields may appear based on your own Add Enquiry form.
Once you are ready to finish, click the Create Enquiry button. You will be returned to the Create Email Activity page, where you can search for your new Enquiry and attach it to your Email Activity.
