The hours question
Support runs on UK working hours. South Africa is one hour ahead of the UK between late March and late October, and two hours ahead for the rest of the year.
In practice, a South African working day overlaps the UK from roughly ten in the morning, South African time, until six or seven in the evening. A question raised in a South African morning gets a same-day answer. A question raised at half past seven on a South African morning lands before the UK working day starts, and is picked up from mid-morning.

Migration from spreadsheets and legacy systems
The migration itself runs on standardised Excel and CSV templates, with every record validated before go-live. Where a register has to satisfy Regulation 42, validation is where the gaps in it surface, a far better place to find them than in a review.
Technical support
Tractivity is an off-the-shelf product, so upgrades and fixes roll out to every client. Virtual machines, environments and databases are monitored 24/7, and maintenance runs between 11pm and 1am UK time, which is the small hours in South Africa.
Data is backed up daily, encrypted and held in a separate secure location. Backups are tested weekly with a file integrity check and a manual restore, signed off by a systems engineer and the Technical Director. Data is stored and processed in the UK by default, with other regions available.
ISO 27001:2022 and Cyber Essentials Plus, hosted on Microsoft Azure, penetration tested every year by a CREST-approved organisation and monitored around the clock by a security operations centre. A fully documented API your web team can use for forms, event registration and data feeds from other systems, plus a survey application for iPad built for face to face engagement and field data capture, which is the part that matters when the meeting happens away from a desk.
Entirely cloud based and reachable from any computer or device with a modern browser. Nothing is installed on local machines, which keeps a distributed team, a district office and a consultant's laptop on the same version.
A documented business continuity and disaster recovery plan, tested regularly. A copy is available on request, and it is one of the documents a South African procurement questionnaire usually asks for.

Support runs on United Kingdom hours, which covers most of a South African working day. Cover starts mid-morning South African time and runs into the early evening. The first hour or two of a South African morning is not, and we would rather say so now than in the first support call.

Four to six weeks on average, from contract to launch. The biggest variable is how quickly you can hand over the existing register.
Tell us the closing date before it opens. A Regulation 40 window is 30 days, and we would rather know it is running than find out when something breaks.
